Registration guidelines

• Registration and abstract submission are simultaneously. More information about abstract submission
• We have limited capacity for attendance at our venue and the evening programme, so do not hesitate to register timely. Note: your participation is only guaranteed once you have received a confirmation for your booking which will be send to your email together with your invoice. Please also check your spam folder for this email.

Overnight stay arrangements

NH Koningshof does not have enough hotel rooms to accommodate all participants. Therefore, hotel rooms in nearby satellite hotels are reserved as well. Shuttle buses are provided for transport between the satellite hotels and the venue. Participants living in the surroundings of Eindhoven are advised not to book a hotel room as we cannot guarantee your room will be in the venue itself.

Because of limited space at the venue, postdocs and PhD students are asked to share rooms. Please indicate a preferred roommate when registering for the conference. If no roommate is indicated or roommates do not indicate each other using their registration email address, the organisation will allocate one.

Participation fees per person per day

The participation fee includes coffee/tea, lunches, dinner with drinks, access to all the lectures, poster sessions, workshops, social programme and shuttle buses between the venue and Eindhoven central station/satellite hotels. Please read our cancellation policy carefully when registering for the conference.

Increase in participation fees

NWO is concerned with quality and innovation in science. Values that NWO also extends to the scientific meetings it organises. To guarantee the quality of NWO Physics now and in the near future, the decision was therefore taken to increase the participation fee. In doing so, a balance was carefully sought between inflation on the one hand and ensuring that NWO Physics remains an inclusive conference in which scientists from diverse backgrounds can participate. As a result NWO, has set the participation fee at this new level.

Strategic evening fee

The strategic evening registration fee includes dinner with drinks plus a strategic interactive programme. The strategic evening is for representatives from the field (group leaders, members of the Physics Council, board members of disciplinary associations in physics sciences, deans, NWO board members and policymakers). 

Hotel fees 

The hotel registration fee includes a single or double room shared per person per night, and includes breakfast.

If you think you are eligible for free admission, please send an email to physics@nwo.nl. Examples: members of the programme committee,  plenary and invited foreign speakers, and NWO-D employees.

Cancellation policy

If you are unable to attend, please cancel as soon as possible so we can facilitate someone else. Cancellation is possible by sending us an email at physics@nwo.nl

• Cancellation before 1 December 2026: full refund minus administration costs of € 7,50.
• Cancellation between 1 December 2026 – 18 December 2026: 50% refund.
• Cancellation after 18 December 2026: no refund.

No-shows: a fine of € 100 extra will be charged on top of the conference fee to cover the costs of your reservation. This fine will also be charged if you are present during NWO Physics but you cancel your reserved room after 18 December 2026.
